Job Summary:
We are seeking an efficient and experienced Senior Administrative Assistant or Admin Expert to provide high-level administrative support the Head International Access Oncology, Head International Access Immunology and Head International Access Cardio Renal Metabolic, within International Value & Access. The successful candidate will ensure smooth and effective communication and coordination between executives, internal and external stakeholders, and manage a variety of administrative tasks. This role requires strong organizational skills, attention to detail, and the ability to work in a fast-paced and dynamic environment.
Responsibilities:
1. Provide upon request administrative support to each executive, including managing calendars, travel arrangements, and coordinating meetings and conferences.
2. Coordinate all the travel arrangement.

3. Keep to date Org. Charts, Distribution list and all information required in the MS team platform.
4. Support the respective V&A Leaders in specific events with logistics and general admin task.
5. Build and maintain effective working relationships with internal and external stakeholders, including clients, partners, and team members.
6. Onboarding and offboarding of team members (upon request).
7. Coordinate and manage events and conferences, including logistics, venue selection, and vendor coordination upon request.
8. Stay updated on industry trends, best practices, and relevant regulatory requirements. (optional)
9. Ensure that requests are managed in a timely manner.
10. Support the POM managing the Budget tracking for each of the teams.
Requirements:
1. Bachelor’s degree in business administration or Commercial Training, or a related field.
2. Proven experience as a Senior Administrative Assistant supporting senior-level executives.
3. Strong organizational and time management skills, with the ability to prioritize and handle multiple tasks simultaneously.
4. Excellent written and verbal communication skills, with exceptional attention to detail.
5. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.).
6. Ability to maintain confidentiality and exercise discretion when handling sensitive information.
7. Strong interpersonal skills, with the ability to build collaborative relationships with all levels of the organization.
8. Flexible and adaptable to changing priorities and work demands.
9. Demonstrated ability to work independently and proactively, with minimal supervision.
10. Strong problem-solving and decision-making skills.
Workload: 100% (40 hours per week)
Role type: Hybrid (max 2 days/week home office)
Contract: until 31.12.2025
Required start date: July 2025
