Job Description:

  • Animal Import/Export: Handling internal and external animal import/export processes.
  • Animal Orders: Coordinating and placing accurate animal orders in collaboration with researchers, Comparative Medicine, Animal Welfare, Veterinary Services, and external suppliers.
  • Order Checks: Ensuring each animal order meets legal, internal, and hygienic requirements.
  • Delivery Status: Monitoring and communicating the status of all deliveries, addressing unexpected delays or issues.
  • Point of Contact: Serving as the contact person for all in-vivo BR labs in Basel and for all animal vendors regarding order issues.
  • Data Management: Collecting, curating, and providing high-quality data for visualization.
  • Purchase Orders: Placing purchase orders in eShop.
  • Stakeholder Management: Actively managing PO and/or GR placement and timing with key stakeholders.
  • Invoice Management: Checking incoming invoices, booking goods receipts in eShop, and resolving payment issues.
  • Buffy Coat Orders: Coordinating Buffy Coat orders for BR, managing orders and logistics with the Blood Donor Centre Bern.

Requirements:

  • Apprenticeship / Bachelor Degree in an administration or comparable
  • Fluent in Business English and German (written and spoken)
  • Technical Skills: Excellent office and time management skills, Strong communication skills (written and verbal), Ability to handle multiple priorities and meet tight deadlines
  • Software skills: Microsoft Office Tool, Purchase Order Tool (e.g. ARIBA , eShop)
  • Ideal previous experience: Operational and/or Procurement experience

Workload: 100% (40 hours per week)
