Job Description Summary:
The Contract Management Resource will be responsible for overseeing all aspects of contract renewals related to Network and Digital Workplace services This includes ensuring stakeholders are engaged in a timely manner, monitoring the contract lifecycle, and reporting progress to governance leadership. Key responsibilities involve defining scope requirements in collaboration with service line leaders, coordinating with the BPA (Financial Lead), procurement teams, and vendors, maintaining up-to-date contract trackers, and ensuring service line leaders open purchase orders promptly and align them with the approved budget and contract terms. Acting as the central point of contact within the governance team, the individual will focus on ensuring adherence to timelines, optimizing processes, tools and costs as required, and maintaining alignment with organizational standards.
From an organizational standpoint, this role involves collaboration with teams within Infrastructure & End User Services (IES) and reports directly to the Director of Network & Digital Workplace Services Governance as part of the DDIT End User Services division.

Key Responsibilities:

  • Contract Renewal Management:

    • Kick off contract renewal processes in a timely manner, ensuring renewals are initiated well before expiry dates as per the governance processes & timeline.
    • Coordinate with service line leaders, BPA (Financial Lead). procurement teams, and vendors to avoid lapses in agreements.
    Scope Definition:
    • Collaborate with service line leaders to clearly define contract scope, objectives, and deliverables.
    • Ensure scope aligns with business requirements and procurement policies.
     
  • Stakeholder Management:

    • E2E management of stakeholders for contracts from the kick off until signature and PO (Purchase Order) approval.
    • Engage procurement teams at the start of the process to streamline scoping and negotiation efforts.
    • Follow up on actions with service line leaders, financial team, OPX (Operational Excellence) team, procurement, and vendor representatives to maintain progress.
    • Build an effective communication plan with stakeholders with focus on Service line leaders and service managers in each technology to ensure the contract tracker completeness and accuracy.
    • Interlock & coordinate with SAM teams to ensure SW contract renewals are done properly and as per the accurate consumption and need.
    • Inlock with Project team as required to ensure that HW Purchase are captured in the tracker to enable accurate depreciation costs and accurate reports
    • Execute Ad- Hoc requests from leadership team as needed in timely manner.
     
  • Tracker Maintenance:
    • Maintain and update contract trackers to capture contract status, renewal timelines, PO status, and associated actions.
    • Provide regular and clear updates and reports on tracker progress to the governance lead
     
  • Purchase Order Management:

    • Ensure purchase orders are correctly opened, align with contract terms, and are submitted within the agreed timelines.
    • Work closely with finance or procurement teams to resolve issues related to POs (Purchase Orders)
     
  • Compliance and Documentation:
    • Ensure contracts and POs comply with Scope, budget, organizational policies, legal frameworks, and procurement guidelines and are approved by BPA and Governance Lead before submission to ensure that PO details are approved by Executive Management (HEAD DDIT) before submission.
    • Record all documentation for audit readiness and ensure proper version control of contracts and trackers.
     
  • Issue Resolution:

    • Proactively flag delays, risks, or gaps in the contract lifecycle and work with stakeholders to address them.
    • Escalate unresolved matters to governance leadership.
     
  • Key Deliverables:

    • Timely contract renewals kicked off and completed without lapses.
    • Regular, clear updates on the progress and reports in timely manner.
    • Accurate, updated contract tracker shared with required stakeholders regularly.
    • Streamlined involvement of key stakeholders for each renewal.
    • Purchase orders opened and processed efficiently.

Required Skills:
• Prior experience working in IT project management skills, and familiarity with Contract management and IT governance frameworks such as ITIL.
• Familiarity with ServiceNow CMDB, SW, HW and, applications will be essential.
• Able to write the technical/user documentation.
• Able to adapt to a fast-paced work environment with minimal supervision.
• People person and should be able to manage stakeholders’ engagements.
• Proficient in using project management skills and productivity tools like MS Office (Power point, Excel, Visio, PowerBI) and MS Project etc.
• Excellent communication skills i (clear, brief and with synthetic sprit)
• Able to work independently, organized, open, structured & Transparent
• Able to generate comprehensive and synthetic reports

Basic Qualifications:
• Bachelor’s degree in computer science, Information Technology, or any other equivalent field.
• Minimum 8 years of work experience in IT.
• Fair understanding of IT infrastructure and Network and Digital workplace services concepts and technologies, preferably with practical experience
• Excellent English communication skills (both written and verbal)

Workload: 100% (40 hours per week)
