The AI Operations Specialist plays a central role in enabling effective, compliant, and scalable access to AI tools across Development, supporting day-to-day operations associated with self-service AI license distribution and adoption. The role ensures colleagues can discover, request, and use approved AI capabilities efficiently, while helping to optimize license allocation, respond to demand, and support user onboarding in a global matrix environment. Working closely with the Director of Digital Innovation and AI as well as the AI Governance Lead, the role also supports governance activities related to AI in GxP assessments, documentation, and compliance tracking, while helping to enable key business roles to adopt AI effectively through targeted support, practical guidance, and role-relevant use case activation.

Major Accountabilities:

AI license operations

  • Manage and coordinate the distribution of self-service AI licenses, including Copilot, Gamma, and other approved tools
  • Monitor usage patterns, demand signals, and access requests to help optimize license allocation across Development
  • Act as a central point of contact for AI license-related queries, requests, and user support
  • Proactively identify teams or functions that would benefit from access to AI capabilities and support rollout planning

Cross-functional engagement

  • Work across a global matrix organization to engage stakeholders across functions and geographies
  • Build strong working relationships to understand business needs and support adoption of AI tools in line with demand and readiness
  • Partner with SMEs from key functions and roles to understand workflow needs and identify practical AI enablement opportunities
  • Support onboarding, awareness, and practical understanding of available AI capabilities for end users
  • Help surface user feedback, adoption barriers, and improvement opportunities to strengthen AI operations and experience

AI Governance and Compliance Support

  • Support the AI Governance Lead in coordinating AI in GxP-related assessments and associated governance activities
  • Assist in ensuring AI usage aligns with internal policies, governance expectations, and relevant regulatory requirements
  • Contribute to documentation, tracking, and coordination of governance actions, approvals, and supporting records

Adoption enablement and user support

  • Promote awareness of available AI capabilities and encourage appropriate adoption through clear communication and user guidance
  • Provide responsive and practical support to colleagues using approved AI tools, helping to resolve routine queries and access issues
  • Support the AI enablement of key roles by helping users understand where AI can add value in their day-to-day work and how to use approved tools effectively
  • Help capture adoption insights and usage trends to inform future rollout decisions, role-based enablement priorities, and support prioritisation

Governance enablement & awareness

  • Provide clear guidance to AI teams on compliance requirements, risk expectations, and Responsible AI practice
  • Promote a culture of responsible, compliant AI usage
  • Effective and timely distribution of approved AI licences across teams and functions
  • Improved visibility into AI tool demand, usage patterns, and license allocation needs
  • Consistent support for AI governance activities, including documentation, tracking, and assessment coordination
  • Strong user experience through responsive support, clear communication, and effective onboarding to AI capabilities
  • Greater adoption of approved AI tools in line with business needs, policy expectations, operational readiness, and the needs of priority role
  • Reliable coordination of AI operations activities across stakeholders in a global matrix environment
  • Improved AI enablement of key roles through relevant use cases, targeted support, and practical guidance aligned to business workflows

Requirements:

  • Demonstrated proficiency in AI tools including Copilot
  • Strong interest in applied AI and digital innovation
  • Strong communication and interpersonal skills, with the ability to operate effectively in a matrix environment
  • Ability to understand business workflows and translate AI capabilities into practical, role-relevant support and guidance
  • Highly organized, with strong attention to detail and the ability to manage multiple priorities simultaneously
  • Confidence working with stakeholders to identify use cases, adoption barriers, and enablement opportunities across key roles
  • Proactive mindset with the ability to identify gaps, solve practical problems, and improve ways of working independently
  • Exposure to pharmaceutical, healthcare, or other regulated environments preferred
  • Experience working across cross-functional or global teams preferred
  • Confident in supporting operational processes, documentation, stakeholder coordination, and user enablement in a fast-evolving environment
