Professionally provide high quality administrative and operational support for the Global Value & Access VP leaders based in the US. Team player who is proactive and can successfully handle multiple assignments with competing priorities in a fast-paced environment, while proactively reaching out within the organization to find solutions, anticipate needs of leader, have excellent attention to detail, and function as a partner. 

Major Accountabilities (Admin) 
• Key responsibilities include calendar management (this person will support 3 Global Heads); travel arrangements; processing expense reports; purchase orders; arranging video conferences/ TCs, and internal /external meetings across several time zones; preparing materials for meetings. 
• Ability to support opening and managing purchase orders and receiving in the relevant finance systems (SAP, SRM) and skillset to track and support budget management (if needed) 
• Assist in logistical onboarding of new team members. 
• May be responsible for composing correspondences and communicating information on behalf of leaders. 

• May create and prepare presentations/memos/reports for approval. 
• Work with several other admins from GVA/MAP/GPSC to schedule meetings 
• Maintain a high level of confidentiality and securely handle sensitive material with all levels of management, in a professional manner.

• Quality and accuracy of support (e.g., calendar management, expense reports, clarity of correspondence)

Job Dimensions Number of associates: 
Will not support anyone other than the 3 Leaders 
• No Direct Reports/Matrix management Impact on the organization: 

Successful candidate must be a team player who can handle multiple assignments while proactively reaching out within the organization to find solutions, anticipate needs of manager, have excellent attention to detail, and function as a partner.
• Responsible for heave calendar management, travel arrangements, processing expense reports, arranging meetings as requested.
• Event support which would include booking conference rooms, booking venues, handling registrations, booth setups.
• Ability to work with Finance as needed regarding invoices, purchase orders and escalations as required.
• Excellent MS Office skills, Ariba experience, excellent communication skills.
• Experience working with executive level management team and managing multiple responsibilities at once.
• At least 5 years in a Sr. Administrative professional role


Location: East Hanover, NJ
Pay Rate: $30 - $45/hour
Contract: 4+ months
