Job Purpose
As a Congress & Experiential Manager, you will coordinate the creative execution and flawless delivery of our international congress experiences, ensuring consistency, quality, and innovation across every touchpoint. Working in a cross-functional and highly creative environment, you will translate strategy into action — bringing together science, storytelling, and spatial design to shape experiences that elevate our presence on the global stage.
You will manage multiple projects, partners, and stakeholders to deliver “One Novartis” customer journeys that feel seamless, bold, and inspiring. The ideal candidate will have experience delivering successful congresses experiences and events in a fast-paced, high-energy environment and proven ability to work cross-functionally in a complex matrix organization. You have a can-do approach to work and have a passion for mission driven delivery. You must have excellent UX/UI skills, project and stakeholders (both internal/external) management skills and be a good collaborator.
This role is ideal for someone coming from an agency, experiential, or exhibition environment, with a proven ability to combine creative excellence, project rigor, and cross-functional collaboration in a fast-paced setting.
Key Responsibilities:
• Coordinate and execute the creative implementation of the congress experience across assigned brands and medical initiatives, ensuring alignment with CX, creative and design strategy.
• Translate strategy into execution: manage timelines, budgets, and workflows to ensure timely and high-quality delivery.
• Collaborate cross-functionally with Scientific Communications, IMA, Omnichannel and other stakeholders for flawless coordination.
• Champion design quality: uphold the standards and creative benchmarks defined by the Creative Strategy team.
• Oversee content approvals (FUSE / Compliance) and ensure all materials meet internal and external guidelines.
• Drive innovation by staying current on experiential, digital, and sustainability trends that shape how healthcare brands show up.
• Benchmark continuously against competitors and internal best practices to elevate the overall congress experience.
• Foster collaboration and alignment, breaking silos and promoting a “One Team” mindset across internal and external partners.
Requirements:
• 5–8 years of experience in agency, experiential, or exhibition project management. Healthcare and industry background a plus
• Proven track record of delivering complex, multi-stakeholder projects from concept to execution.
• Solid understanding of creative workflows, event production, and experiential design principles.
• Excellent stakeholder and vendor management skills; able to influence, align, and inspire cross-functional teams.
• Highly organized with a strong attention to detail and a passion for creative excellence.
• Knowledge of pharma compliance or regulated industries is a plus.
• Curious, collaborative, and motivated by the opportunity to transform how science is experienced.
Workload: 100% (40 hours per week)
